Enquiries
The contact form collects your name, email address and message so we can respond to your enquiry. It sends these details to our business mailbox. The form does not save a separate copy to a website database or use your enquiry to subscribe you to marketing.
Where you enquire about entering into a contract with us personally, we use your information to take steps at your request before entering into that contract. For other enquiries, including when you contact us on behalf of a business, we rely on our legitimate interests in responding to enquiries and managing business relationships. Please avoid sending sensitive personal information through this form.
Who receives your information
Enquiries are handled by Camera Tech Solutions Limited and Krystal Hosting Ltd, which provides our website hosting and business email service. Krystal has confirmed that processing for our UK-hosted service stays within the UK and European Economic Area (EEA). We do not sell enquiry information.
How long information is kept
We retain enquiries and correspondence for as long as needed to handle your enquiry, provide any resulting services, and meet relevant legal obligations or resolve disputes. Retention depends on whether the enquiry remains active, whether it results in an ongoing business relationship, and any applicable legal requirements. We periodically review retained information and delete it when it is no longer needed.
Krystal keeps mailbox backup snapshots for 30 days and has confirmed that backup data is permanently deleted after that period. Messages deleted from the live mailbox may remain in those snapshots until they expire.
Archived website access logs are configured for 30-day retention in our hosting account. Krystal reports that most other hosting logs are retained for 30 days. These periods are separate from our retention of enquiry emails.
Spam prevention
The form uses a hidden field and an overall sending limit to reduce spam without third-party CAPTCHA services. The sending limit stores recent submission timestamps on the server, without visitor identifiers or message contents. Timestamps older than one hour are removed when the next valid submission is processed.
Website hosting
The website is hosted by Krystal. Website access logs record technical information about requests, including IP addresses, dates and times, requested pages or files, request methods, response codes and sizes, referring pages where supplied, and browser or device information reported by the requesting software. We rely on our legitimate interests in operating a secure, reliable website to use these logs for security and troubleshooting. They are separate from contact-form messages and do not require cookies.
Basic website statistics
We produce daily totals from existing hosting access logs to understand how the website is used and improve it. These include page requests, broad referral categories, missing-page requests and enquiries accepted by the mail service. We filter recognisable automated traffic. We do not create visitor IDs, identify returning visitors or reconstruct individual browsing histories.
The statistics store only aggregate counts, not IP addresses, full referral URLs, browser identifiers or enquiry contents. Aggregate totals are kept for 90 days, separately from the hosting logs and their retention periods described above. The private dashboard is hosted with Krystal; no analytics data is sent to an external analytics service.
We rely on our legitimate interests in understanding and improving the website for this limited processing. You can object by contacting us using the email or postal details above, or through the contact form, free of charge. Once information has been combined into anonymous totals, we cannot identify an individual contribution within those totals.
Your rights
Depending on the circumstances, UK data protection law gives you rights to access, correct or erase your personal data, restrict or object to its use, and request data portability. To exercise these rights, use the postal or email contact details above.
You have the right to object to processing based on our legitimate interests, on grounds relating to your particular situation.
You can also raise concerns with the Information Commissioner’s Office.
